Translation-format rules that decide acceptance

Translate everything on the page — letterhead, emblem, seals, and footer text.

Officers compare line by line; any omission makes the translation inaccurate.

Keep the original layout and order — no summarising, no reordering.

Reformatting makes side-by-side verification impossible.

Spell personal names exactly as in the passport and company names as registered in English.

Name mismatch is the top rejection cause and also triggers later embassy refusals.

Convert Buddhist-era (B.E.) dates to Gregorian (A.D.) and state the format clearly.

Destinations cannot read B.E.; a 543-year gap makes the file look contradictory.

The translation must be a separate, cleanly typed document — never handwritten on the original.

Writing on the original counts as altering it.

Always file the original together with the translation; a standalone translation is not certified.

Certification confirms the translation matches the original presented.

In-depth legalisation questions

What exactly does the MFA certify — the content of the document?: No. Legalisation certifies that the signature and seal of the issuing officer are genuine, or that a translation matches its original. It does not vouch for the truth of the facts stated.
After MFA legalisation, do I still need the destination embassy?: It depends on the destination. Many countries require a further step at their embassy or consulate in Thailand before the document is usable. Always check the receiving authority's requirement first.
Can Thailand issue an Apostille instead?: Not yet. Thailand has joined the Apostille Convention, but it enters into force for Thailand on 28 February 2027. Until then Thai documents still follow MFA legalisation plus destination-embassy legalisation.
What differs between filing in person and using a representative?: A representative needs a power of attorney plus ID copies of both parties. Government fees are identical; the difference is the agent's fee and the risk of an incomplete file when the owner is not at the counter.
What is the most common reason for rejection?: The top three: (1) photocopies instead of certified copies, (2) names in the translation not matching the passport, (3) incomplete translation such as omitted seals or footer text.
How long is a legalised document valid?: The legalisation stamp itself carries no expiry, but receiving authorities usually impose one — commonly 3 or 6 months from issue or legalisation. Follow the destination's rule.
