Information as at February 2026

20 document families most often certified by NAATI

Birth certificate for Australia / New Zealand

Issued by: District registrar (Amphoe / Khet) · Receiving body: Department of Home Affairs, Immigration New Zealand

Use a freshly certified extract (3–6 months old); case officers commonly request a recent copy.

House registration (Tabien Baan) and Thai ID card

Issued by: Local registration office, Department of Provincial Administration · Receiving body: Home Affairs, education providers, Australian banks

Every page bearing text must be translated, including struck-through move-out entries; partial translations are treated as incomplete.

Marriage and divorce certificates (with family record)

Issued by: Civil registrar (Kor Ror 2/3/6/7) · Receiving body: Partner Visa 820/801, 309/100

Partner visa case officers usually want both the certificate and the family-status register entry; translate them together.

Full history of name and surname change certificates

Issued by: Civil registrar (Chor 3 / Chor 5) · Receiving body: Home Affairs, skills assessment authorities

When the name on your qualifications differs from your passport, attach every change certificate in chronological order.

Passport bio page and previous visas

Issued by: Department of Consular Affairs, MFA · Receiving body: Home Affairs, embassies, banks

Name spelling in the translation must match the current passport character-for-character.

Degree certificate and academic transcript

Issued by: University registrar · Receiving body: VETASSESS, ACS, Engineers Australia, Australian universities

Assessing authorities usually require the testamur plus all transcript pages, not just the summary sheet.

Postgraduate (Master / Doctorate) academic records

Issued by: Graduate school registrar · Receiving body: Assessing authorities, universities, employers

Thesis titles and credit values must be rendered in full, not abbreviated.

Vocational certificates and professional diplomas

Issued by: Vocational institutes, Department of Skill Development · Receiving body: Trades Recognition Australia, VETASSESS, professional boards

State training hours and qualification level; these drive the AQF comparison.

Employment reference letters and work history for skilled visas

Issued by: Employer / HR department · Receiving body: Skills assessment, subclass 189/190/491/482

Letters should state role, duties, dates and weekly hours, otherwise the experience may not be counted.

Part-time and internship service letters

Issued by: Employer / host organisation · Receiving body: Assessing authorities

Part-time experience is usually pro-rated to full-time equivalence, so hours must be explicit.

Employment contracts and overseas work agreements

Issued by: Employer / recruitment agency · Receiving body: Home Affairs (482/186), Department of Employment

Include annexes on remuneration and termination — those are the clauses officers actually read.

Police clearance certificate (criminal record check)

Issued by: Criminal Records Division, Royal Thai Police · Receiving body: Home Affairs, AHPRA, employers, care-sector regulators

Most receiving bodies accept a certificate under 12 months old; plan issuance around your lodgement date.

Medical certificates and treatment history

Issued by: Hospital / attending physician · Receiving body: Home Affairs, insurers, education providers

Clinical terms and drug names stay as written, together with the physician's name and licence number.

Bank balance letters and statements

Issued by: Commercial bank · Receiving body: Home Affairs, education providers, embassies

Translate balances and currency as printed; do not convert exchange rates — that is the officer's task.

Financial statements and tax documents

Issued by: Certified auditor / Revenue Department · Receiving body: Business Innovation visas, banks, overseas counterparties

File Por Ngor Dor / Por Por 30 forms together with payment receipts to evidence actual filing.

Company affidavit and memorandum of association

Issued by: Department of Business Development · Receiving body: ASIC, banks, overseas counterparties

Use an extract issued within three months and translate the full list of authorised directors.

Commercial contracts and trade agreements

Issued by: Contracting parties · Receiving body: Counterparties, courts, arbitral tribunals

Governing-law and jurisdiction clauses are rendered literally, never interpreted.

Patent and trademark documents

Issued by: Department of Intellectual Property · Receiving body: IP Australia, WIPO, patent attorneys

Application numbers, filing dates and claim scope must be reproduced exactly.

Thai driving licence for overseas use

Issued by: Department of Land Transport · Receiving body: Service NSW, VicRoads, TMR QLD, Waka Kotahi NZTA

State transport agencies require a NAATI translation presented together with the original licence.

Wills, probate, court judgments and title deeds

Issued by: Courts, Department of Lands, lawyers · Receiving body: Foreign courts, estate administrators, financial institutions

Judgments are translated in full including the operative part; summaries are not accepted.

Frequently asked questions about NAATI

What is NAATI and who issues the credential?

NAATI is the National Accreditation Authority for Translators and Interpreters, the Australian body that certifies translators and interpreters. Australian agencies expect translations produced by a currently certified practitioner.

What must a NAATI stamp show?

The stamp shows the translator's name, practitioner ID, certification type, language pair and direction, and the expiry date, alongside the signature. Digital stamps also carry a verification link.

Can I upload the PDF to ImmiAccount, or is a hardcopy required?

Online lodgement through ImmiAccount accepts a scan of the stamped translation. A paper original is needed only when the receiving body — a state transport agency or a court, for example — asks to sight it.

Do I have to send the original document before translation?

No. A sharp photo or a 300 dpi scan is enough, provided every line, seal and signature is legible. Anything unreadable must be marked as illegible in the translation, as professional practice requires.

How does NAATI differ from notarisation by a notarial attorney?

NAATI certifies the translation itself, by an Australian-credentialed translator. A notarial services attorney certifies signatures, copies, oaths or facts. They are separate functions and some files need both.

Does a NAATI translation still need consular legalisation?

For Australian and New Zealand submissions a NAATI translation is normally sufficient without consular legalisation. Documents destined for other countries usually follow the Thai MFA Department of Consular Affairs route instead.

Is Thailand part of the Apostille Convention yet?

Thailand has acceded to the Apostille Convention, which enters into force on 28 February 2027. Until then the traditional chain applies: Department of Consular Affairs, then the destination embassy.

How long does a NAATI translation take?

A single-page civil document such as a birth certificate or house registration typically takes about 1–3 business days. Multi-document bundles and technical files take longer, depending on the queue.

Does a NAATI translation expire?

The translation itself does not expire, but the translator's certification does, and some source documents — police checks, bank statements — have their own acceptance windows at the receiving agency.

Can I use the service from another province or from overseas?

Yes. The workflow is fully online: send files by email or LINE, receive the translation by email, and request postal dispatch of hardcopies within Thailand or internationally.

What NAATI credential levels exist?

The current scheme spans Recognised Practising, Certified Translator and Certified Advanced Translator for translation, plus Provisional, Certified and Conference levels for interpreting. Official submissions usually require at least Certified Translator.

What is the CCL test and is it related to document translation?

CCL (Credentialed Community Language) is a NAATI test that can yield five points in the skilled-visa points test. It is not a credential for certifying document translations.

How can I verify that a translator really holds NAATI certification?

Search the practitioner directory on naati.com.au by name or practitioner ID; digital stamps on the translation also carry a link that reveals the credential status.

What happens if the spelling differs from my passport?

Personal names should follow the current passport. A mismatch can lead an officer to treat the documents as belonging to different people, so confirm the preferred spelling before translation starts.

Can NAATI translate English into Thai for use in Thailand?

NAATI certification is direction-specific and covers both Thai→English and English→Thai. Thai authorities, however, usually expect MFA-legalised translations rather than a NAATI stamp, so check the receiving office first.

Do skills assessment authorities accept NAATI translations?

Australian assessing authorities such as VETASSESS, ACS, Engineers Australia and TRA require English translations by a certified translator. Read each authority's guide, as submission details differ.

Must every page be translated?

Standard practice is a complete rendering of the document, including seals, signatures and endorsements. Selective translation risks rejection.

If the source document contains an error, can the translator fix it?

No. The translation must mirror the source. Errors have to be corrected by the issuing authority first, then the corrected document is translated.

Why do some files need both NAATI and a sworn translator?

Destinations use different systems: Australia and New Zealand rely on NAATI, while much of Europe relies on court-appointed sworn translators. Parallel applications therefore need two sets.

How do I get a quote and page estimate?

Send photos or scans of every page you need translated by LINE or email. We count the actual pages, confirm the working window, and book the slot before starting.

NAATI in depth — application types, common pitfalls, glossary and 24 questions

Application types requiring NAATI translations

189 / 190 / 491

Skilled visas (Independent / Nominated / Regional)

Degrees, transcripts, employment references, house registration, birth certificate

The skills assessment comes before the visa, so prepare one translation set usable for both stages.

820 / 801 · 309 / 100

Partner visas

Marriage certificate, family-status record, divorce record, name-change certificates, children's birth certificates

Provide the full marital history, not only the most recent event.

500 / 590

Student and student guardian visas

Transcripts, completion certificates, financial evidence, parental consent letters

Providers and Home Affairs may each keep a set — prepare spare certified copies.

482 / 494 / 186

Employer-sponsored work visas

Experience letters, payslips, professional licences

Reference letters should state role, dates and duties aligned to the ANZSCO code.

600 / 601

Visitor visas

House registration, bank statements, employment letter, invitation letter

Statements already issued in English do not need re-translation.

Citizenship

Australian citizenship application

Birth certificate, name-change certificates, marriage record, identity documents

Identity documents must be internally consistent and match the passport spelling.

Licence conversion

Converting a Thai driver licence

Thai driver licence (both sides), licence-history certificate

Service NSW, VicRoads, TMR and peers require a certified translation and usually sight the original.

NZ residence / work

New Zealand residence and work visas

Birth certificate, marriage record, police certificate, qualifications

Immigration New Zealand accepts translations from qualified independent translators, including NAATI holders.

Six reasons translations get rejected — and how to avoid them

Incomplete rendering

Translate every page bearing text, including seals, signatures and struck-through entries.

Expired translator stamp

NAATI stamps carry an expiry date — confirm validity as at the submission date.

Name spelling mismatch

Confirm passport spelling before translation and attach name-change certificates where relevant.

Illegible source scan

Scan in colour at 300 dpi, full page, no cropped edges or shadows over text.

Document too old

Some cases require a fresh certified extract issued within 3–6 months.

Translation submitted without the source

Always submit the translation together with a copy of the exact source used.

NAATI glossary

Certified Translator
NAATI's core credential for document translation, evidenced by a stamp bearing the practitioner number.
Recognised Practising
A status used for languages where full certification testing is not yet available.
CCL
Credentialled Community Language — a test used for points in the skilled migration points test, not a document-translation credential.
Practitioner number
The translator's identifier used to verify status in NAATI's online directory.
Certified copy
A copy attested as a true copy of the original — distinct from a certified translation.
Apostille
Hague Convention authentication; for Thailand it enters into force on 28 February 2027.
Legalisation
Consular authentication via the Thai MFA and the destination embassy — still Thailand's main route today.
ImmiAccount
Home Affairs' online lodgement system, which accepts scanned PDFs of stamped translations.

24 in-depth NAATI questions

How long is a NAATI translation valid?

The translation itself does not expire, but the receiving body may limit the age of the source document (police certificates are commonly capped at 12 months) and the translator's credential must be current on the submission date.

Do online lodgements need hard copies?

ImmiAccount accepts scans, but keep the stamped hard copy: some steps such as licence conversion or professional registration still ask to sight originals.

How do I verify a translator is genuinely certified?

Search the practitioner number shown on the stamp in NAATI's online directory; it displays language, direction and current status.

Can a NAATI translation replace consular legalisation?

They serve different purposes: NAATI attests the translation, consular legalisation attests the authenticity of the public document. Where both are required, both must be done.

Do documents already in English need translation?

No, if the issuer produced the English version. Bilingual documents with additional Thai seals or annotations still need those Thai elements translated.

Is the original required for translation?

Translators normally work from a legible copy and state that on the certification. Some receiving bodies require translation from a certified extract, so confirm the requirement first.

How does NAATI differ from a Notary Public?

NAATI is an Australian translator credential; a Thai Notarial Services Attorney attests signatures, copies and facts under Lawyers Council rules. Most Australian migration files need the former.

How do CCL points help a visa application?

Passing CCL awards community-language points in the skilled points test. It is unrelated to document translation and does not make the holder a certified translator.

Should place names and official titles be translated or transliterated?

Best practice is to transliterate proper nouns with a bracketed English gloss, so officers can cross-match other documents while the rendering stays faithful.

Should multiple documents be merged into one file?

Keep one file per document type with clear filenames: online systems categorise evidence separately, and merged files risk items being overlooked.

How are corrections handled after delivery?

Translation errors are corrected and re-issued with a fresh stamp; errors originating in the source must be fixed by the issuing authority first.

Do I need to visit an office?

No — the workflow runs online end to end: send scans, receive the PDF, then have the stamped copy dispatched to your address.

Can I use the service from upcountry or overseas?

Yes — certified translation does not require attendance; clients in Australia or third countries can send files and receive documents by international post.

What should I watch for with Thai police certificates?

Translate the body text and the seals, and check the document age against the receiving body's limit — police certificates are the most age-sensitive item.

Do university-issued transcripts sent directly need translation?

English transcripts sent directly by the university usually need no translation; Thai-language copies held by the applicant do.

Can company documents be NAATI-translated for Australia?

Yes — company affidavits, shareholder lists, financial statements and powers of attorney are commonly needed for investor visas, incorporations and bank onboarding.

Does a lawyer need to re-certify the translation?

For Australian destinations the translator's stamp is generally sufficient; extra notarial attestation applies only where the receiving body specifically asks.

Is same-day turnaround possible?

It depends on page count and scan quality: short standard records such as birth certificates move faster than multi-page transcript sets.

Does the passport need translating?

Thai passports are bilingual so usually need no translation, though Thai-language stamps inside may need rendering when used as travel evidence.

Can I reuse a translation for a later application?

Yes, provided the source is unchanged and still within the receiving body's age limit — keep both the PDF and the stamped hard copy.

What about Thai-language documents issued abroad?

They can be translated as usual, but check whether the destination also requires authentication from the issuing country.

If an officer requests more information, do I start over?

No — translate only the additional items requested and reference the original application number when responding.

Must the translator be located in Australia?

No — the requirement attaches to the credential, not the location, so holders outside Australia can provide the service.

How do I prepare files for the fastest turnaround?

Scan in colour at 300 dpi page by page, name files by document type, state the passport spelling, and name the receiving body up front.

24 practical NAATI questions

Does AHPRA need a NAATI translation or will a Thai consular translation do?

AHPRA requires translations by a NAATI-credentialled translator or an equivalent it recognises; a Thai consular-legalised translation alone is usually not enough for professional registration.

Does Engineers Australia need the whole syllabus translated?

Transcripts and degrees always need translating; syllabus outlines are requested when the assessor needs to compare course content, so prepare the files but translate only what is asked for.

Which translation is needed to convert a Thai driver licence?

State road authorities such as Service NSW, VicRoads and TMR accept NAATI translations that show licence class, issue date, expiry and licence number; some states also require both sides.

My transcript is already issued in English — still need a translation?

If the issuing institution produced it in English, a re-translation is normally unnecessary; however, Thai-language seals or annotations on the page may still need certifying.

How important is the name-change deed in a visa application?

Critical — if the birth certificate and passport names differ, the case officer sees two different people; a certified name-change deed is the bridge between the documents.

How many months of bank statements need translating?

It depends on the stream — student and visitor applications typically look back three to six months; translate the same set you attach as evidence rather than selected pages.

Can a Thai police clearance be NAATI-translated directly?

Yes — translate both the body text and the Royal Thai Police seal, and lodge within the validity the receiving body expects, commonly twelve months.

Can Thai company documents such as DBD certificates be NAATI-translated?

Yes — common for business visas, overseas bank onboarding and tax filings; use a certified extract issued within the last six months.

For multi-page documents, is every page certified?

The translator certifies the set as one document and states the page count in the certification, which prevents pages being removed later.

The authority also wants a certified true copy — how is that different?

A NAATI translation certifies the text matches the source; a certified true copy attests that a photocopy matches the original — in Thailand that is done by a Notarial Services Attorney.

Home Affairs asked for the paper original after an ImmiAccount lodgement — what now?

We dispatch the letterhead hardcopy with wet stamp and signature by EMS against the original job reference — no re-translation required.

Does a translation expire?

The translation itself does not expire, but receiving bodies judge the age of the underlying document — police checks and statements in particular must be recent.

What if the translator's credential expires after we lodge?

There is no retrospective effect — what matters is that the certification date falls inside the credential's validity, which is why the stamp always shows an expiry.

For English-to-Thai use inside Thailand, is NAATI needed?

Thai authorities generally want translations legalised by the Department of Consular Affairs, not NAATI; NAATI is primarily for Australian and New Zealand bodies.

Do Thai documents for Australia also need embassy legalisation?

For most visa and skills-assessment purposes, a NAATI translation suffices; consular and embassy legalisation is needed when the destination is a court, land registry or a specific legal transaction.

Will Thailand's Apostille accession change the NAATI process?

Thailand's Apostille Convention entry into force is 28 February 2027, which streamlines authentication of public documents but does not replace NAATI translation — Apostille authenticates the document, NAATI certifies the translation.

How can I verify a NAATI stamp is genuine?

The stamp carries a practitioner ID searchable in NAATI's public directory, and newer digital stamps include a link or QR code for direct online verification.

Do I have to bring the paper original to your office?

Not for most NAATI work — a clear photo or scan is enough, unless the destination such as a court or the AAT specifically requires sight of the original.

Does New Zealand accept NAATI translations?

Immigration New Zealand accepts translations by qualified professional translators, which includes NAATI-credentialled practitioners, provided the certification, name and contact details appear.

Can errors be corrected after delivery?

Yes — transcription errors are reissued at no extra charge; if the source data itself changed, a fresh original document is required first.

Can medical documents such as doctor's certificates be NAATI-translated?

Yes — common for medical-treatment visas, insurance claims and AHPRA registration; clinical terminology follows standard international usage.

What is most often missed in partner-visa translation sets?

Most commonly the house registrations of both parties, the divorce certificate from a prior marriage, and the divorce agreement annex covering children.

What is the fastest realistic turnaround?

A single clean page with straightforward names can be done within 48 hours; multi-page sets or faded old documents should allow the standard five to seven business days.

How do I start?

Send the document images and name the destination (e.g. subclass 189, AHPRA, VicRoads) via LINE OA @Thainotary or call 094-895-8999; we confirm the required set and timeline before starting.

NAATI by scenario — document sets, sequencing, name rules and 28 more questions

Facts as at February 2026 — cross-checked against NAATI, the Department of Home Affairs, Immigration New Zealand and Thai issuing authorities.

The six most common scenarios

Australian Student visa (Subclass 500) and university admission

Who it applies to
Thai students applying through a CoE issued by a CRICOS-registered provider
Documents to translate
Transcripts, school leaving certificate, degree, house registration, birth certificate, financial evidence and sponsor letters
Sequence
1) Obtain originals from the institution 2) Have them translated by a NAATI-certified translator 3) Submit Thai + English side by side to the provider 4) Re-upload the identical set to ImmiAccount at visa lodgement
Common pitfall
Providers often want a transcript issued within the last six months — do not reuse an old translation without checking the issue date on the source document

Partner visas (Subclass 820/801 and 309/100)

Who it applies to
Spouses and de facto partners of Australian citizens or permanent residents
Documents to translate
Marriage certificate (Kor Ror 2/3), divorce records if any, children's birth certificates, house registration, ID card, name-change deeds and single-status affirmation
Sequence
1) Collect civil-status records from the District Office 2) Translate the whole set with NAATI certification, including every stamp and handwritten annotation 3) Lodge with relationship evidence 4) Keep the same set for the permanent stage (801/100)
Common pitfall
Translations that omit stamps or reverse-side annotations are the most common trigger for a request for further information

Skilled visas (189 / 190 / 491) and skills assessment

Who it applies to
SkillSelect EOI applicants who must first pass an assessing authority
Documents to translate
Degree, transcript, unit outlines, employment references, payslips and tax evidence
Sequence
1) Complete the skills assessment first (ACS/EA/VETASSESS etc.) 2) Lodge the EOI 3) On invitation, lodge the visa using the same translated set
Common pitfall
Names on translations must match the current passport exactly; where they differ, a translated name-change deed must accompany the file

New Zealand — Immigration New Zealand (INZ)

Who it applies to
Applicants for New Zealand work, student or residence visas
Documents to translate
Birth certificate, marriage certificate, police certificate, qualifications and financial documents
Sequence
1) Assemble originals 2) Use an independent, qualified translator — NAATI-certified translations are accepted 3) Submit the original alongside every translation
Common pitfall
INZ does not accept translations prepared by the applicant, family members or the adviser lodging the application

Employment onboarding and background checks in Australia

Who it applies to
Visa holders undergoing employer or regulator background screening
Documents to translate
Royal Thai Police clearance certificate, qualifications, professional licences and employment references
Sequence
1) Obtain the police clearance 2) Translate with NAATI certification 3) Provide to HR or the regulator (e.g. each state's Working with Children Check)
Common pitfall
Police certificates are usually accepted only if 3–12 months old depending on the body — confirm the window before ordering a translation

Australian documents used inside Thailand (reverse direction)

Who it applies to
People filing Australian documents with Thai District Offices, courts, DBD or Immigration
Documents to translate
Australian birth/marriage records, single-status statutory declarations and corporate documents
Sequence
1) Translate into Thai 2) Have the translation certified through the channel the receiving office requires 3) Route through the Thai Department of Consular Affairs where required
Common pitfall
NAATI certification is designed for Australian/New Zealand bodies; most Thai offices still rely on translation certification via the Department of Consular Affairs

Name and consistency rules

Treat the passport as the master spelling

Roman-letter spelling in every translation must match the biodata page of the passport used for lodgement

Record alternate spellings in a translator's note

Where older documents differ, the translator adds a note identifying the same person rather than altering the source text

Titles and ranks

Thai honorifics, military/police ranks and ecclesiastical titles are rendered as they appear and are never dropped for tidiness

Buddhist and Gregorian years

Buddhist-era dates are converted to the Gregorian calendar with the original B.E. figure retained in brackets for auditability

Addresses and administrative divisions

Tambon/Khwaeng, Amphoe/Khet and Changwat are rendered with standard terms (Sub-district / District / Province), never abbreviations

Translate every element on the page

Garuda emblems, stamps, signatures, handwriting, book/entry numbers and reverse-side text must all appear in the translation

Document readiness checklist

  • Civil registry (birth certificate, house registration, ID card)

Must be a registrar-certified copy, not a cropped photo, with the full 13-digit identifier visible

  • Marital status records (Kor Ror 2, 3, 6, 7)

Provide both the certificate and the family-status register when the receiving body asks for the underlying particulars

  • Education records (transcripts, degrees)

Confirm the institutional seal and registrar signature, and scan every page including the grading-scale page

  • Employment and financial records

Letters must be on company letterhead stating role, dates and a contactable signatory

  • Police clearances and court documents

Check the issue date against the receiving body's acceptance window before ordering the translation

  • Driver licences and vehicle records

Both sides must be legible, including licence class and expiry

28 further NAATI questions

What is NAATI and who sets the standard?

NAATI is Australia's certifying body for translators and interpreters. Australian government agencies rely on a translator's Certified Translator status as the benchmark for accepting a translation.

How does a NAATI translation differ from a lawyer-certified translation?

NAATI certifies the translator's competence under an Australian standard; a lawyer or consular certification attests to a signature or copy within the Thai system. They serve different purposes.

Do I need to send the physical original to the translator?

A high-quality scan is normally sufficient, and the certification will state that it was made from a copy. If the receiving body requires translation from the original, say so before work starts.

Does a NAATI translation expire?

The translation itself does not expire, but the translator's certification has an expiry date and some source documents, such as police certificates, carry their own acceptance window.

Can one translated set be reused across several bodies?

Yes, provided the source document is unchanged and still within that body's acceptance window. Keep the original PDF for repeat lodgements.

Must ImmiAccount uploads include the source document with the translation?

Upload both the source image and the translation so the case officer can compare them, either combined in one file or as clearly named separate files.

What happens with hard-to-read handwriting?

Professional practice is to mark it [illegible] rather than guess. If that field matters, request a fresh copy from the issuing office.

Do stamps and signatures need to be translated?

Yes — each is described, for example [Seal: District Office of…] and [Signature], so the translation mirrors the page completely.

What if the body asks for a certified copy as well?

A certified copy attests to the source document and is a separate step from translation; it is obtained from the issuing office or an authorised certifier named by the receiving body.

What extra documents do regulated professions translate beyond the visa file?

Typically the professional licence, a certificate of good standing and curriculum details, which regulators request in addition to the visa set.

How are Thai corporate documents handled for Australian use?

Company affidavits, shareholder lists and board minutes are translated in full, preserving the registration number and issue date exactly as printed.

Does the whole house-registration book need translating?

Usually the address page, the applicant's person page and any amended pages; the full book is translated only when the receiving body asks.

Should Thai place names be transliterated or translated?

Transliterate using a standard system and keep the official name; meanings are not translated because the receiving body must match it against other documents.

What if documents predate a post-marriage surname change?

Include a translated name-change deed or marriage certificate to link the older documents to the current passport identity.

What does a Thai-born child need for an Australian application?

Birth certificate, house registration and, where travelling with one parent, a parental consent document — all certified in translation.

Must the translation be printed in colour?

A digitally signed PDF is fine for online lodgement; printed copies simply need to be legible, and most bodies do not mandate colour.

Can I translate it myself and have it certified afterwards?

No. Certification attaches to work the certified translator produced or professionally verified, and receiving bodies treat the applicant as non-independent.

Is a NAATI interpreter needed for interviews?

Australian agencies usually arrange their own interpreters, while appointments with lawyers, hospitals or private bodies commonly request a certified interpreter.

Do documents already in English need translating?

Not if the issuing authority produced them in English; but bilingual documents with Thai seals or annotations still need those parts translated.

How does Apostille interact with NAATI translation?

The Apostille Convention enters into force for Thailand on 28 February 2027. An Apostille authenticates the source document, not the translation, so it is a separate step from NAATI certification.

On what grounds can a translation be rejected?

Common grounds are incomplete pages, unrecorded stamps, name spellings inconsistent with the passport, a non-independent translator, or lapsed certification.

How can I verify a translator's status?

Check NAATI's public register using the practitioner number printed on the translation stamp.

What is translated for an Australian visitor visa?

Typically house registration, an employment or study letter, financial evidence and an invitation from the Australian-based supporter.

What if the source document is lost?

Request a replacement from the issuing office — District Office or institution — then translate the replacement; other records cannot substitute.

What certification wording appears on the translation?

A statement of accuracy and completeness plus the translator's name, practitioner number, certification level, language direction, date and certification expiry.

How should a family application be organised?

Keep one folder per person and name files consistently, e.g. Surname_DocumentType_TH and _EN, so the case officer can cross-check quickly.

How much lead time should be allowed before a deadline?

Allow for re-issuing documents from government offices, which usually takes longer than the translation itself, plus one review-and-correction cycle.

What happens if the case officer asks for a correction?

Send the officer's notice to the translator; where the error lies in the translation, a corrected and freshly certified version is issued.

Are languages other than Thai–English covered?

NAATI certification is tied to a specific language pair and direction, so other languages must go to a translator certified for that pair.

NAATI online worldwide — order from anywhere

Facts as at July 2026 — cross-checked against NAATI, the Department of Home Affairs, Immigration New Zealand and destination authorities. Acceptance of digital files remains at the receiving authority's discretion.

The six-step online workflow

  1. Step 1

Send a scan or photo of the original

Scan at 300 dpi or photograph the full page including edges, seals, signatures and reverse-side annotations. Do not crop: the translation must reflect every element of the source document.

  2. Step 2

Confirm name spelling against the passport

Always include the passport bio page so the transliteration matches the current travel document. If the name has changed, supply the name-change deed for parallel translation.

  3. Step 3

    Scope confirmation and scheduling

State the destination country and receiving authority: requirements differ. Some assessing bodies require the translation bound with a copy of the source. Standard turnaround is generally 5–7 business days; 48-hour urgent handling depends on queue.

  4. Step 4

    Translation by a NAATI-certified practitioner

The translation is issued in NAATI's prescribed format bearing the stamp, signature, practitioner ID, certification tier, expiry date and a statement of accuracy.

  5. Step 5

    Draft review before final issue

You review the draft for names, dates, document numbers and terminology. Corrections are made before stamping — the single most effective step for avoiding a request for further information.

  6. Step 6

    PDF delivery and hardcopy dispatch

The signed and stamped PDF is delivered by email or LINE for online upload, with the hardcopy dispatched by EMS within Thailand or international courier where the destination still requires paper.

Digital acceptance by destination cluster

Australia

All states and territories, including the ACT and NT

PDF uploads to ImmiAccount are accepted directly; paper is only needed if a court or tribunal asks to sight the original.

Assessing bodies such as ACS, Engineers Australia, VETASSESS and AHPRA set their own file requirements — check before uploading.

New Zealand

Immigration New Zealand, NZQA and professional registration boards

Digital translations are accepted through the online lodgement system, though some professional boards still request posted hardcopies.

INZ requires translations from a qualified independent translator; NAATI certification meets that standard.

Europe and the United Kingdom

UK, Ireland, Germany, France, the Netherlands, the Nordics and other Schengen states

The UK and Ireland generally accept English translations carrying a certificate of accuracy; several continental states mandate a sworn translator registered with their own courts.

Where the destination mandates its own sworn translator we say so plainly and offer the Thai–English + MFA + embassy route instead; NAATI is never presented as a substitute.

North America

United States and Canada

USCIS accepts English translations with a translator's certification and permits PDF upload; Canada's IRCC and WES use their own forms and channels.

Canada sometimes requires a translator's affidavit sworn before a commissioner of oaths — plan for this in advance.

Middle East

UAE, Saudi Arabia, Qatar, Kuwait, Oman and Bahrain

These jurisdictions remain paper-based and rely on the Thai MFA plus destination-embassy chain; a NAATI translation is usually not what they ask for.

Several require an Arabic translation certified in-country; confirm with the receiving authority before starting.

Asia and the Pacific

Japan, South Korea, China, Taiwan, Singapore, Hong Kong, India and Fiji

Singapore and Hong Kong commonly accept certified English translations; China, Japan and Korea require the consular/embassy route with local-language translations.

If the receiving authority is Australian but the applicant lives elsewhere in Asia, NAATI still applies — the receiving authority governs, not the applicant's location.

Practicalities when ordering from abroad

Time zones and response windows

The team works on Thai time (ICT, UTC+7) — three hours behind Sydney during daylight saving and six to seven hours ahead of London. Files sent overnight from Europe enter the queue the next Thai business morning.

International hardcopy dispatch

Dispatch is by registered international mail or courier with tracking. Transit time depends on the destination and its customs handling, so allow buffer before any lodgement date.

Verifying a translation

Recipients can verify the practitioner's registration through NAATI's online practitioner directory using the ID printed on the stamp.

Documents issued outside Thailand

NAATI translations cover documents issued anywhere, provided the language pair falls within the practitioner's certification. Documents destined for use inside Thailand still require separate MFA translation certification under the Thai system.

20 questions about ordering NAATI online

Can I order a NAATI translation from outside Thailand?

Yes. The whole process runs online — file submission, draft review and delivery of the certified PDF. A hardcopy is dispatched only where the receiving authority requires paper.

Do you need to see the paper original?

Generally no — a clear full-page scan suffices, unless the receiving authority specifies that the translator must certify from a sighted original.

Does a NAATI translation expire?

The translation itself does not expire, but the practitioner's certification carries an expiry date shown on the stamp, and receiving authorities usually limit the age of the source document — often three to six months.

What if the source is neither Thai nor English?

It requires a practitioner certified in that specific language pair. We state plainly which pairs are in scope and which need an alternative route.

Can a NAATI translation be used with Thai government agencies?

Normally not. Thai agencies rely on translations certified by the Department of Consular Affairs, while NAATI is an Australian and New Zealand system. The two are not interchangeable.

Does a NAATI translation need an apostille?

Australian and New Zealand authorities do not ask for an apostille on a NAATI translation. For Thai documents going to Hague states, check the Convention's entry-into-force status for Thailand separately.

How many pages must be translated — including reverse sides?

Every page bearing text must be translated, including reverse sides, seals, handwriting and official annotations. Omissions are the most frequent cause of follow-up requests.

Can a translation be corrected if a name is misspelled?

Yes. Where the discrepancy originates with the translator we correct and reissue at no additional cost. Where the source document itself differs from the passport, a supporting document explaining the difference is required.

How many copies do I need for multiple authorities?

The PDF can be reused without limit for online lodgements; order hardcopies according to how many authorities demand paper.

Can medical records and test results be translated?

Yes — medical certificates, treatment histories, laboratory results and vaccination records, preserving the source units and reference ranges without conversion.

What is the fastest urgent turnaround?

Typically 48 business hours for short documents, subject to queue and complexity. A delivery time is confirmed before work starts; we do not promise beyond what is achievable.

The authority says 'certified translator only' — what does that mean?

In the Australian context it means a practitioner holding NAATI Certified Translator credentials in the relevant language pair — not merely a translator issuing a self-declaration.

Can documents issued by a foreign embassy in Thailand be translated?

Yes, though check first what form of certified copy the destination accepts — some require the issuing mission itself to certify the copy.

How are place and agency names rendered consistently?

We use each agency's official English name as published on its government website, retaining the Thai name in parentheses where helpful so officers can cross-check.

What if handwriting on the document is illegible?

It is marked as illegible in accordance with translator practice rather than guessed, and we recommend requesting a freshly issued document where that passage is material.

Should the Thai original accompany the translation?

Yes — most authorities want the translation paired with a copy of the exact source document so they can confirm what was translated.

Can an earlier translation be reused at the permanent stage?

Yes if the source document is unchanged and still within the accepted age window; civil-status records that can change, such as house registration, should be reissued.

Is further certification available after a NAATI translation?

Yes. Where documents must also serve authorities outside Australia and New Zealand we advise on the parallel route through a notarial services attorney, the Department of Consular Affairs and the destination embassy.

Is sending personal documents online secure?

Files are used solely for translation and verification, are not disclosed to third parties, and are deleted per the stated retention cycle. Practitioners are bound by professional confidentiality obligations.

How do I know whether I need NAATI or MFA legalisation?

Follow the receiving authority: Australian and New Zealand bodies take NAATI, while Thai agencies and countries relying on the diplomatic chain take the MFA plus embassy route.

How the work runs and the documents you need first

We are both the filing team and your advisers, with 15+ years of combined experience. We map the document route and confirm the realistic steps for your case before any work starts.

Working steps

  1. 1. Scan review

We check legibility, completeness and whether the destination will accept a scan rather than a sighted original.

Handled by: Our team · Typical time: Same day

  2. 2. Certified translation

A NAATI-certified translator prepares the translation with the certification statement and stamp.

Handled by: NAATI translator · Typical time: 1–3 business days

  3. 3. Proof and approval

You review the draft for name spellings, dates and place names before certification is finalised.

Handled by: Applicant · Typical time: Same day

  4. 4. Delivery

Certified PDF is emailed; hard copies are couriered where the authority requires paper.

Handled by: Our team · Typical time: 1–5 business days for post

Overall timeframe: Single documents are usually certified within 1–2 business days. Large sets, such as full academic records, generally take 3–5 business days.

Documents to prepare first

  • Clear colour scan of the original document

All four corners visible, no cropping of seals or stamps

  • Passport bio page

Used to lock the spelling of names in the translation

  • Destination requirement or checklist

Tells us whether a PDF certification is enough or hard copies are needed

  • Previous translations, if any

Helps keep names and terminology consistent across a family application

Advisory tips

  • Confirm whether the authority accepts a digital certified PDF — most Australian online portals do
  • Submit all family documents together so names and transliterations stay consistent
  • Keep the translator's certification page attached; separating it invalidates the file for many authorities

Why files get rejected

  • Certification covers translation accuracy only, not the authenticity of the source document
  • Some authorities additionally require the Thai original to be legalised
  • Low-resolution or partially cropped scans are a frequent cause of rework
