Signature notarization in Thailand: what should you prepare?

If the recipient asks for signing before a notary, send that instruction and every page of the form to the attorney. A signature certificate records who signed and what was checked; it does not verify every amount, business term or factual statement. Request a separate contract review if you also need advice on the agreement's risks.

For a power of attorney, check both parties' names, permitted acts, duration and cancellation terms. Do not sign with important blanks or grant broader powers than intended. Consent involving a child may require evidence of the relationship or parental authority specified by the recipient; an internet form is not automatically a substitute for the required form.

1. Obtain the recipient's name, destination country, current form and required certificate wording. 2. Match names against identification; provide name-change evidence or an explanation for differences. 3. Submit the unsigned draft to assess language, signers and supporting evidence. 4. Confirm the appointment format and originals needed. 5. Sign after the attorney completes the checks, then review names, dates, page count and attachments before collection.

Tell the team beforehand if the signer cannot read the form's language so suitable translation or communication support can be assessed. A brief explanation by the proposed agent is not a substitute for the signer's own understanding. For multiple signers, identify each person's capacity and ask whether the recipient permits separate certificates.

A director's passport alone does not establish authority to bind a company. Review the company registration evidence, joint-signature conditions and any seal requirement. A person who is not an authorized director may need a power of attorney or relevant resolution. Foreign-company evidence requires assessment of language and authority under the applicable law; no single document-age rule applies to every recipient.

Ask whether the recipient needs only an attorney's certificate or additional MFA and embassy legalization. Some public documents have their own legalization route and do not always start with a notary. A destination's Apostille membership does not by itself mean every Thai document can immediately use an Apostille; check the effective treaty position and document category at submission.

Name differences, incomplete forms, blank authority clauses, lack of understanding or unclear company authority can require correction before certification. Scans assist preliminary review but do not replace originals or required in-person signing. Timing depends on the documents, appointment and any further authority checks; do not plan travel on an assured same-day completion.
