The situation

An Australian sponsor and a Thai applicant had assembled a partner-visa evidence bundle over several months: Thai marriage certificate, house registration, national ID and a police clearance certificate. All of it had been translated by a local shop near the district office and certified by the Ministry of Foreign Affairs.

Why the file stalled

The Department of Home Affairs does not require MFA legalisation for documents used inside Australia; it requires translations by a NAATI-credentialed translator, or a full statement of the translator's credentials. The MFA work was not wrong, it was simply irrelevant to the receiving authority, while the part that mattered was missing.

Pitfalls to avoid

  • Assuming MFA legalisation is universally required — for documents used inside Australia it usually is not.

  • Ordering a police clearance certificate too early — some authorities treat it as stale after a set period.

Can an existing translation be upgraded to NAATI?

No. A NAATI-credentialed translator must produce and attest their own translation; they cannot countersign someone else's work. The earlier translation can be used as a reference for terminology, but the document is produced fresh.

How do we handle inconsistent romanised names?

Fix one spelling — normally the passport spelling — and use it across the whole bundle, with a translator's note that identifies the variants appearing on the Thai originals. Silent inconsistency is what triggers requests for further information.
